Shared tasks
Plan the work together
Open Tasks in the sidebar for the account’s shared board, or Tasks on an event to see its work. Three columns keep the state clear: Open, In progress, and Done.
Choose New task or Add a task… in a column. A title is enough. Add an event, a due date, a description, or a person when you need them. Descriptions and comments support formatting, images and downloadable files up to 20 MB each.
Keep work moving
Drag a card by its handle, or change its status inside the task. The person selector on a card saves assignments immediately. The assigned person receives an inbox notification and browser push if they have it enabled. Self-assignment stays quiet.
Filter by event, tasks without an event, person, unassigned tasks or My tasks. Hide completed tasks changes your view. Archive task removes a completed task from everyone’s active board. Open Archive to find it and Restore to return it to Done with its discussion and files intact.
Open a task to discuss it. Newest comments appear first; the activity section records creation, assignments and status changes. Teammates’ changes arrive live, including inside an open task. Unfinished comments and edits remain in place. If someone saves ahead of you, your edits are preserved so you can review the saved version before trying again.
Deleting a task permanently removes its comments and history. Deleting its event also deletes the task. Use the archive when you want to keep a record.

Shortcuts leave text fields and open dialogs alone. The status form also works without dragging.
Team access and files
Owners and managers manage all account tasks. Co-organizers work only on tasks for their currently assigned events, through the board, assistant, personal API tokens and MCP. They cannot create account-wide tasks or remove an event link. Scanners and promoters do not have task access. Assigning a person never grants new event access.
Files are private. Attached files follow current task access; revoking event access also revokes its file access. Draft uploads belong to their uploader. Download links require organizer authentication and are not public sharing links.
Ask the assistant
Try these requests in the built-in assistant or a connected MCP client:
- “Create a task to brief the entrance team for October Party, due October 24.”
- “Show my unfinished tasks and move the door briefing to In progress.”
- “Assign the briefing to Lisa and add a comment that doors open at 18:00.”
- “Move the briefing above the sound check in the same column.”
- “Archive the completed briefing. Find it in the archive and restore it.”
In the built-in assistant, attach a file to your message and ask to add it to the task description or a new comment. The assistant can read rich descriptions, comments and file metadata, attach private uploads and remove description files. MCP accepts files already uploaded through the private task upload API; it does not receive files attached to an external AI client’s chat.
Creating a task or marking it Done records its state. It does not perform the work described in its title or comments.
